Secretary, Board of Directors

Position Type: Volunteer
Time Commitment: A few hours per week (varies by need, including meetings)
Reports To: Board President

Role Summary:

The Secretary plays a key role in maintaining the organization’s records, ensuring effective communication, and supporting the administrative functions of the board. This individual will manage meeting documentation, organize key documents, and help keep the nonprofit’s operations running smoothly.

Key Responsibilities:

  • Meeting Management & Documentation:

    • Prepare and distribute meeting agendas in collaboration with the Board President.

    • Record, maintain, and distribute minutes for board meetings and key committee meetings.

    • Ensure meeting follow-ups, action items, and deadlines are tracked and communicated.

  • Records & Compliance:

    • Maintain key organizational documents, including bylaws, policies, and meeting records.

    • Ensure compliance with state and federal nonprofit reporting requirements.

    • Keep board member contact lists and terms up to date.

  • Communication & Coordination:

    • Assist with official nonprofit correspondence, ensuring timely responses.

    • Help coordinate board activities and scheduling.

    • Serve as a liaison between board members, committees, and external stakeholders when necessary.

  • Technology & Organization:

    • Utilize online tools to maintain records (Google Drive).

    • Assist in setting up and managing digital communication tools (Slack, Email, Google Meet).

    • Support data entry and organization for donor lists, volunteer tracking, or event planning.

Preferred Qualifications & Skills:

  • Administrative Experience: Background in office administration, nonprofit, or similar experience is preferred.

  • Tech-Savvy: Comfortable using email, online document storage, meeting software (Zoom, Google Meet), and productivity tools like Google Workspace. 

  • Organized & Detail-Oriented: Strong ability to maintain accurate records and ensure key deadlines are met.

  • Communication Skills: Ability to document meeting discussions clearly and facilitate board communications.

  • Board/Nonprofit Experience: Prior experience serving on or working with a nonprofit board is a plus but not required.

  • Commitment to the Mission: Passionate about community cycling, transportation equity, or bike advocacy.

Treasurer, Board of Directors

Position Type: Volunteer
Time Commitment: A few hours per week (varies based on financial needs and reporting deadlines)
Reports To: Board President

Role Summary:

The Treasurer is responsible for overseeing the financial health and accountability of South Bend Bike Garage. This role includes managing financial records, budgeting, reporting, and ensuring compliance with nonprofit financial best practices. The Treasurer works closely with the Board and key volunteers to maintain transparency and fiscal responsibility.

Key Responsibilities:

  • Financial Oversight & Reporting:

    • Maintain accurate and up-to-date financial records.

    • Prepare financial reports for board meetings, including income, expenses, and cash flow.

    • Monitor the organization's budget and ensure financial sustainability.

  • Accounting & Record-Keeping:

    • Manage bank accounts, deposits, and expense tracking.

    • Oversee bookkeeping, including reimbursements, invoices, and financial transactions.

    • Work with an accountant or tax professional (if applicable) to prepare required tax filings (Form 990, state filings).

  • Compliance & Financial Integrity:

    • Ensure compliance with 501(c)(3) nonprofit financial regulations.

    • Maintain financial policies and procedures to safeguard the organization’s assets.

    • Assist in preparing and managing grant budgets and donor-restricted funds, if applicable.

  • Technology & Financial Tools:

    • Use accounting software (e.g., QuickBooks) to manage finances.

    • Assist in setting up online donation/payment processing and tracking donor contributions.

Preferred Qualifications & Skills:

  • Financial/Accounting Background: Experience in bookkeeping, accounting, or nonprofit financial management is highly preferred.

  • Tech-Savvy: Comfortable with financial software, spreadsheets, and online banking.

  • Detail-Oriented & Organized: Able to track transactions, manage records, and ensure financial accuracy.

  • Analytical & Problem-Solving Skills: Can assess financial trends, create budgets, and offer strategic recommendations.

  • Nonprofit/Board Experience: Prior experience managing nonprofit finances or serving on a board is a plus but not required.

  • Commitment to the Mission: Passionate about supporting a community-driven bike initiative and helping the organization succeed financially.
